AI Disclosure Statement

This AI Disclosure Statement explains how artificial intelligence is used within the Glow Up Hub platform and should be read together with our Privacy Policy and Terms and Conditions.

This AI Disclosure Statement explains how artificial intelligence is used within the Glow Up Hub platform, operated by K&L Collective Pty Ltd (ACN 699 071 746) ("Glow Up Hub", "we", "us", "our") and website ("Platform"). It applies to all users including salon owners, staff users, and visitors to our public website. This statement forms part of our Terms and Conditions and should be read together with our Privacy Policy.

The short version

Glow Up Hub uses AI to help your staff find answers based on your own business documents and policies. The AI gives responses based only on what you have uploaded plus relevant Australian industry and compliance content we provide. It is not a lawyer, HR advisor, or medical professional. Always verify important information before acting on it.

1. How Glow Up Hub Uses Artificial Intelligence

Glow Up Hub uses artificial intelligence in two ways:

1.1 AI Staff Assistant (within the Platform)

The AI Staff Assistant is available to logged-in staff users within the Platform. It responds to questions based exclusively on:

  • Customer Content uploaded by the salon owner, including business policies, SOPs, and training materials; and
  • Platform Content provided by Glow Up Hub, including applicable Australian laws, industry regulations, and compliance guidance.

The AI Staff Assistant does not access the internet, draw on general knowledge beyond your uploaded content and Platform Content, or access any other Customer's data. Each salon's AI environment is fully isolated.

1.2 Public Website AI (Demo or Chatbot)

Glow Up Hub may make an AI-powered chatbot or demonstration feature available on our public website at glowuphub.com.au. This feature is intended to demonstrate Platform capabilities and provide general information about Glow Up Hub. Responses generated by the public website AI are for demonstration purposes only and do not constitute advice of any kind.

2. AI Technology Providers

The AI features within the Glow Up Hub Platform are powered by large language models provided by the following third-party AI providers. Anthropic and OpenAI are used for different purposes and are not interchangeable across all AI features, the breakdown below sets out exactly what each provider is used for.

2.1 Feature-by-feature breakdown

2.2 Anthropic

We use the Anthropic Claude API (Claude Sonnet 4.5) to generate AI responses within the Platform, including the AI Staff Assistant and the admin testing playground. When a staff user submits a query, their question and relevant retrieved context from uploaded content are transmitted to Anthropic to produce the response. Anthropic's privacy policy is available at anthropic.com/privacy. Under Anthropic's Commercial Terms and API usage policies, data submitted via the API is not used to train Anthropic's general models unless we explicitly opt in to a separate program (e.g. the Development Partner Program), which we have not done.

2.3 OpenAI

We use the OpenAI API (model: text-embedding-3-small) to generate vector embeddings that power semantic search across uploaded documents and platform content. This supports retrieval for the AI Staff Assistant but does not generate user-facing responses. OpenAI's privacy policy is available at openai.com/policies/privacy-policy. Under OpenAI's API data usage policies (effective 1 March 2023), data submitted via the API is not used to train OpenAI's models unless we explicitly opt in, which we have not done.

2.4 Additional clarifications

  • Anthropic is the primary LLM for generating AI responses in the Platform. OpenAI is not used to generate staff-facing chat answers in normal production configuration.
  • OpenAI is used exclusively for embeddings, converting text into vector representations so the system can search the knowledge base. Embeddings are a supporting step and do not produce user-visible responses.
  • OpenAI gpt-4o exists only as a temporary development fallback if the Anthropic API key is not configured. In production, Anthropic is configured and used for all response generation.
  • OCR (text extraction from scanned PDFs/images) is handled by a separate dedicated OCR service, not by Anthropic or OpenAI. This is part of document ingestion only.
  • The public website AI referred to in section 1.2 is not yet live in the current build. When launched, it would use the same underlying AI stack unless otherwise disclosed.

By using the Platform, you consent to queries being processed by these third-party AI providers as described above. We will notify you by email at least 30 days in advance of any material change to the AI providers we use.

2.5 Confirmation: Customer Content is not used for model training

We have confirmed this against both providers' published API and commercial terms:

Anthropic (Claude API)

  • Under Anthropic's Commercial Terms, API inputs and outputs are not used to train models by default. This is a contractual position, not an opt-out setting.
  • Training would only occur if we explicitly opted into a program such as the Development Partner Program, or submitted explicit feedback via Anthropic's feedback mechanisms, neither applies to Glow Up Hub's API usage.

OpenAI (Embeddings API)

  • Since 1 March 2023, data sent to the OpenAI API is not used to train or improve OpenAI models unless the customer explicitly opts in.
  • The /v1/embeddings endpoint (which Glow Up Hub uses) is listed as "Data used for training: No" in OpenAI's platform documentation.

3. What the AI Can and Cannot Do

The AI Staff Assistant is designed to:

  • answer questions based on your uploaded business policies and procedures;
  • help staff access documented information without contacting the business owner;
  • provide general guidance based on Platform Content including Australian laws and industry standards; and
  • flag when a question falls outside the scope of available content.

The AI Staff Assistant is not able to:

  • provide legal advice or act as a substitute for a qualified Australian lawyer;
  • provide human resources advice as a substitute for a qualified HR professional or Fair Work advice;
  • provide medical, clinical, or health advice as a substitute for a registered health practitioner;
  • guarantee that its responses are accurate, complete, or current;
  • access real-time information, the internet, or external databases;
  • make binding decisions on behalf of your business; or
  • replace the professional judgement of a qualified person in any regulated field.

4. Accuracy and Limitations

AI-generated responses are produced by large language models and may contain errors, omissions, or outdated information even when based on your uploaded content. Factors that may affect response accuracy include:

  • the completeness and accuracy of the content you have uploaded;
  • ambiguity in the question asked;
  • limitations inherent in large language model technology; and
  • changes in laws or regulations that have not yet been reflected in Platform Content.

Glow Up Hub takes reasonable steps to ensure Platform Content is accurate and current but does not warrant that AI-generated responses are free from error. All AI-generated responses should be treated as a starting point for further investigation, not a definitive answer, particularly for matters involving legal compliance, employee relations, health and safety, or regulated beauty procedures.

5. Human Oversight and Responsibility

The use of AI on the Glow Up Hub Platform does not remove or reduce your responsibilities as a business owner. You remain responsible for:

  • the accuracy and completeness of the content you upload to train your AI Staff Assistant;
  • verifying that AI-generated responses are accurate and appropriate before acting on them;
  • ensuring your business complies with all applicable Australian laws and regulations regardless of any AI-generated guidance;
  • making all final decisions about your business operations, staff management, and client care; and
  • updating your uploaded content when your policies, procedures, or legal obligations change.

We strongly recommend that any AI-generated response relating to employment law, workplace health and safety, privacy obligations, or regulated beauty procedures be verified against current authoritative sources or reviewed by a qualified professional before being relied upon.

6. Data Handling by AI Providers

When a staff user submits a query to the AI Staff Assistant, the query and relevant context from your uploaded content is transmitted to our AI provider (Anthropic or OpenAI) to generate a response. This transmission is subject to the AI provider's data handling and privacy policies.

We have selected AI providers whose API terms confirm that data submitted via the API is not used to train their general models. However, we recommend you review the current terms of each provider directly:

Queries submitted to the AI are not stored by Glow Up Hub beyond what is necessary to deliver the response. We do not maintain a history of individual AI conversations within the Platform.

Both providers may retain API inputs and outputs for a limited period for abuse monitoring and safety purposes, typically up to 30 days by default for both Anthropic and OpenAI on their API endpoints. Neither provider uses this retained data for model training under standard API terms.

7. Transparency and User Awareness

Glow Up Hub is committed to being transparent about our use of AI. To support this:

  • AI-generated responses within the Platform are clearly identified as AI-generated;
  • the public website chatbot or demo feature is clearly labelled as AI-powered;
  • this AI Disclosure Statement is publicly available at glowuphub.com.au/ai-disclosure; and
  • we will notify users of any material changes to how AI is used on the Platform with at least 30 days notice by email.

8. Feedback and Reporting Errors

If you notice an AI-generated response that appears to be inaccurate, inappropriate, or potentially harmful, please report it to us at hello@glowuphub.com.au. Your feedback helps us improve the quality and safety of the Platform. We will investigate all reports and take appropriate action.

9. Changes to This Statement

We may update this AI Disclosure Statement from time to time as our use of AI evolves or as regulatory requirements change. We will notify you of any material changes by email at least 30 days before the updated statement takes effect.
